Finding information
Organise dispersed information and help an employee retrieve relevant passages with traceable source references.
Practical AI help in the Netherlands
MelonCactus helps SMEs in the Netherlands apply AI in a focused, controlled way. We start with a concrete task, the intended outcome and the review it requires, rather than starting with a tool.
Work can be delivered online or in a hybrid format. An on-site workday outside Twente is agreed separately. We focus on bounded improvements for technical, industrial and business SMEs, without requiring a large transformation programme.
Discuss your AI questionPossibilities
The examples below are possible applications, not completed client results. Suitability depends on your process, data, software and the consequences of an error.
Organise dispersed information and help an employee retrieve relevant passages with traceable source references.
Classify incoming documents and prepare selected data for review and further processing.
Prepare first drafts of emails, work instructions or reports within agreed boundaries.
Compare versions, conditions or technical descriptions and flag potential differences.
Structure existing documentation into a practical question-and-answer workflow for employees.
Recreate one recurring task in a bounded trial before considering an integration or automation.
Fictional practical cases
These original scenarios are not customer assignments or measured results. They show the decisions, controls and boundaries involved in practical AI for SMEs.
How a fictional technical service company could test an internal AI knowledge search while keeping sources, document versions and human review visible.
A fictional installation company explores AI document comparison for tender requirements, changes and unanswered questions without automating commercial commitments.
How a fictional industrial maintenance team could test AI meeting notes, action points and follow-up while preserving consent, context and ownership.
A fictional technical wholesaler tests AI-supported customer intake to organise requests, attachments and missing information without sending automatic promises.
Working together
We map a concrete work situation, practise with suitable tools and discuss how employees should review the output.
You receive a practical approach, example prompts and clear points of attention for the selected task.
Plan an AI starter conversationDuring an online, hybrid or agreed on-site workday, we work with employees on one recognisable process.
You receive a usable way of working and an informed choice about next steps. A full implementation is not automatically included in the workday.
Discuss an AI workdayWe first describe the inputs, steps, exceptions and human review. We then build and test a limited trial.
You gain clarity on performance, limitations, maintenance questions and the conditions for a possible implementation.
Discuss a process trialOur approach
An application is useful only when it fits the work and employees can review its output. We therefore keep the first step small and transparent.
Discuss the task, users, current workflow and reason for improving it.
Record what data is needed, what must not be shared and where human judgement remains essential.
Select a session, workflow or trial that can test the most important assumption.
Review usefulness, errors, exceptions and the effort required for maintenance.
Use the result to decide whether to stop, adjust or develop the approach further.
Costs and scope
We confirm the question, approach, deliverables, timing and fixed project fee in writing before starting. Scope follows the task rather than a compulsory package.
Licences, third-party software, integrations, travel and any ongoing maintenance are listed separately where relevant. An initial conversation or form submission is not an order.
Working responsibly
We determine what information is genuinely needed and use fictional or sanitised examples where possible. Access, tools, review and retention are agreed in proportion to the assignment.
Settings, contract types and data processing differ by provider and subscription. We therefore review the relevant options before using business information. We do not provide a general guarantee of EU-only processing or complete compliance by a tool.
Client information remains within the agreed assignment and is not used for competitor research or other clients. Do not send confidential documents, applicants' personal information or credentials through the initial contact form.
Tasks from a vacancy
Individual administrative, document-based or communication tasks within a vacancy may be suitable for support. We assess the task and required oversight; we do not claim that AI replaces a complete role or employee.
Ask us to assess a taskFAQ
An intake and much of the guidance can take place online. Hybrid work and on-site visits are possible by agreement; availability, location and any travel costs are confirmed in advance.
No. A first assignment can help select a useful task, establish basic working agreements and avoid unnecessary software investments.
Not automatically. We first review your current workflow and software. A new licence or integration is proposed only when it appears necessary and suitable.
Guidance, task selection and many bounded trials can often be handled remotely. Whether that is responsible for your question depends on the process, information and employees involved.
Yes. Before work begins, you receive a defined assignment with a fixed project fee. Any separate software, travel or maintenance costs are listed where applicable.
That is still a useful result. We record the limitations and causes and recommend further work only if the application shows sufficient value and controllability.
We minimise the data required, begin with example information where possible and review relevant settings and provider terms before using business information.
Based in Enschede, MelonCactus has a dedicated Twente page for its local focus. The working method and responsibility boundaries remain the same.
Briefly describe the work, current friction and who reviews the outcome. Please do not share confidential information at this first stage.
