Practical AI & automation

Make AI useful in everyday work.

MelonCactus helps small and medium-sized businesses apply AI to everyday work: from better prompts to supporting and automating recurring administrative tasks.

Based in Enschede, our initial focus is Twente. We work with the needs of technical service providers, installation companies, trading businesses and industrial firms in mind. A small team can start with one specific question.

Discuss your question

What gets in the way of your daily work?

  • How can our team use ChatGPT or other AI tools well?
  • Which admin tasks can be simpler, with less retyping and searching?
  • How can we prepare customer emails, quotations and reports more efficiently?
  • Could AI support some tasks while we recruit?
  • Where do we start, and what will it cost?

Possibilities

Start with a task you recognise.

These are possible applications, not completed client projects. Feasibility depends on the process, the information available and the checks required.

Customer enquiries

Prepare draft answers to recurring questions, with review before sending.

Organising documents

Collect and structure information from documents, keeping the original information traceable.

Finding differences

Compare documents and highlight possible differences for review.

Meeting notes

Turn an authorised transcript into draft notes and action points.

Project reports

Structure available project information into a draft report.

Preparing quotations

Organise information for quotations and enquiries; people remain responsible for prices and commitments.

Working together

Three ways to get started.

AI explanation and guidance

Practical ChatGPT guidance for businesses. We practise with your work, discuss how to check answers and develop reusable prompts.

You receive a usable approach and prompts for the agreed tasks.

An on-site AI workday

Rick observes daily work, helps employees get hands-on and works with them on one clearly defined task.

You receive a usable way of working and concrete next opportunities. Complex software integrations or complete automation are not promised within a single day.

Automate a task

First we define the task and desired outcome, then run a small, bounded trial. Only after demonstrating that it works do we discuss a suitable implementation.

You receive a tested trial and clarity on implementation, oversight and any ongoing maintenance.

Our approach

Start small. Test it together.

The discipline behind our research also guides our AI advice: understand the problem, check the information, assess the options and test the results.

  1. 01

    Get acquainted

What do you want to improve, who is involved and which software do you use?

  2. 02

    Define the task

Agree the outcome, required information and boundaries.

  3. 03

    Work it out

Develop a way of working or a bounded trial using suitable information.

  4. 04

    Test together

    Check usefulness, errors and exceptions.

  5. 05

    Expand if worthwhile

Agree further work only if the approach works and adds value.

Costs and scope

A fixed fee agreed upfront.

A fixed fee agreed upfront, based on the task and desired outcome. We confirm the scope, deliverables and schedule before work begins.

Any software costs, integrations and ongoing maintenance are specified separately in advance. An initial conversation or form submission is not an order.

Working responsibly

Agree the boundaries before sharing business information.

We first agree which information is needed, who has access, which tools will be used and appropriate review and retention arrangements. Where possible, we start with examples without confidential content.

Before using business information, we review the selected provider's settings and terms together. Data handling differs between products and subscriptions. We do not promise that all processing takes place in the EU or that a tool automatically meets every privacy requirement.

Client information is used only within the agreed assignment, not for competitor research or work for other clients. Do not send confidential documents, applicants' personal information or credentials through the initial contact form.

Tasks from a vacancy

Recruiting? Look at the tasks as well.

Which tasks in your vacancy could AI support in the meantime? We can review document handling, administration, customer communication and reporting. An open vacancy does not prove recruitment is failing. AI does not automatically replace an entire role or employee.

FAQ

Questions before you start

Do employees need prior knowledge?

No. We start with the work people already do and practise step by step. Learning how to check an AI tool's answers is part of the process.

Can we start with software we already use?

We check that first. An existing tool can often be a starting point. Capabilities, access rights, subscriptions and integrations determine what is practical and responsible.

Do you work at our premises?

An AI workday takes place at the agreed location. Our initial focus is Twente; location, timing and any travel arrangements are agreed in advance.

What can be done in one workday?

We focus on one clearly defined task, hands-on practice and a usable approach. Complex integrations and full automation are not automatically included in a single day.

Is this suitable for a small business?

Yes. We can start with one person and one recurring task. The scope follows the question, with no compulsory large programme.

What happens to business information?

We agree what information is needed and suitable tools, access and retention before starting. We review settings and provider terms before using business information. Client information stays within the agreed assignment and is not reused for competitor research.

How are costs agreed?

You receive a fixed fee for a defined assignment. Any software costs, integrations and maintenance are specified in advance. Further work requires a new agreement.

What if AI adds little value?

We will say so. A simpler process, an existing software feature or no change may be better. A trial tests that question; it does not guarantee a particular result.

Which task would you simplify first?

A short description of the work is enough for an initial conversation. Please do not share confidential documents yet.
